Tenant Coordination

Tenant coordination is a relatively new division to the building industry; although it has always been required in retail developments, it is now a fundamental component to all retail projects. Tenant coordination is our core focus and we strive to ensure that every project is successful.

We have worked with numerous consulting professionals and have established relationships with top consulting teams, leading retailers and property developers. Together we have ensured projects were successful and are delivered to the client’s satisfaction.

We offer complete coordination advice, from assessing the signed offers to leases and heads of agreements to compiling and issuing tenants with project specific tenant packs. We oversee the tenant’s drawing submittal to the project team to ensure that all designs comply with the regulations of each discipline and obtain the required approvals.

In preparation for the tenant’s beneficial occupation period Sovereign issues the landlord, tenant and professional teams scope of works schedules to highlight the necessitated responsibilities. Before the tenant accepts beneficial occupation of the premises the outlined scopes are signed-off, a photographic record & the hand over documentation are completed for both the landlord & tenants record.

We also monitor the tenant performance during the beneficial occupation period. Non-performing tenants are referred back to the leasing agent/landlord. All tenant signage is coordinated as per the landlords requirements for both internal shop front signage and external building signage positions. We ensure the tenants are on track with their council submissions & provide status reports to the landlord.

Our procedures are effective in both new construction projects and existing tenanted environments where new tenants move in, or existing tenants relocate. Sovereign’s coordination team takes over all communications with the tenant as soon as the owners/developers sign the lease.

LEASING

The world of retail is ever evolving and in order to create successful retail zones you need to have the correct foundations. The foundation comprises of 2 elements; location and appropriate tenant mix for the target market.

At Sovereign we offer support from the design phase through to fully-functional centres. We can provide knowledgeable recommendations on how to improve new and existing tenant mixes. 

We study the investor’s requirements & restraints to produce centres that are sustainable by understanding each tenants key function. 

We conduct workshops on leasing strategy, merchandising of the centre and discussion about current issues to identify what key changes are required and how best to implement them. We ascertain market intelligence in order to gain information that would lead to maximising the mix and quality of the tenant representation within the centres. Presentations and site visits for prospective tenants are held to promote the centres, showcasing each as a unique retail destination. We work with the tenant coordination team in transitioning from executed contracts through to the hand over of tenant spaces and commencement of store fit outs, through to its trading.

Our creative marketing department is run by Matthys Ras, who has 18 years experience in the marketing and advertising industry and over 1600 Shopping Centre campaigns under his belt.

We offer above- and below-the-line advertising campaigns, branding and corporate identities, web design, mobile apps, corporate communication, investor relation material, stationary layout and event design and co-ordination.

ADDITIONAL CONSULTING SERVICES

Sovereign offers consulting services to investors & retailers, separately or while assisting them with their Leasing or Tenant Coordination. 

We utilize a helpful approach with our clients to address issues, develop solutions and provide project-specific insight that meets our clients goals while focusing on results. We provide comment on Lease, Contract and Heads of Agreements, before & after the deals are signed.

With complete understanding of working drawings and the terminology used in the construction industry we ensure that the scope signed for in the agreements are beneficial to both the investors & retailers. From the understanding of what has been agreed too, we can ensure the correct scope is provided from the design phase through to project completion.
